COVID -19 Guidelines and
Standard Operating Procedure (SOP)

Following faculty of the Institute are trained as the COVID-19 Safety focal officer by the Ministry of Health (MoH).

  1. Introduction  - To comply with DOS, MoLHR/MoH COVID 19 Guidelines, the Institute has prepared a Standard Operating Procedure (SOP), which should be strictly followed on resuming normal work/activities in the Institute.
  2. Purpose  - This SOP describes the procedures to be followed by all the members (Trainees/staff) of the Institute resuming work.
  3. Objective: - The objective of the SOP is to ensure the Institute’s contribution in the Country’s flight with COVID19 and at the same time to ensure the safety of the stake holders of the Institute (Trainees/ Staff).   
  4. Scope and Coverage - The SOP is applicable in the entire premises of the Institute and is binding on each and every individual member/visitor of the Institute. 
  5. Validity - The SOP will be operational till the DOS, MoLHR/MoH/ releases an order to relax the same.  
  6. General Guidelines
    1. Wash your hands with soap at least 20 second at the entrance of the Office building ( in front of BDBL Bank) .
    2. You can also wash your hands in the entrance/ toilet of the Institute where hand washing facilities are provided .
    3. The sanitizers are kept at the entrance doors of the Institute, Use sanitizer regularly.
    4. It is mandatory to wear face mask by all the Institute Members (Staff/trainees/Visitor during duty hours (when they start from home till they reach home).
    5. While passing through staircase or doorways avoid touching the wall, door or other surfaces. If required, use elbows to push door to open. Those taking support of railings at the staircase may wash their hands / use sanitizer after touching common surfaces.
    6. As far as possible, air-conditioning shall be avoided and natural ventilation shall be used.  
    7. Anybody with any symptoms of COVID 19 like cough, fever or breathing difficulty shall immediately seek medical assistance/report to the Safety focal officer of the Institute.
    8. Everyone may volunteer to bring to the notice of the authority if they came across anyone with the symptoms of COVID-19.
    9. It is recommended to download and use Druk Trace App whenever you enter the premises of the Institute. If you do not have the mobile, please register your name and other details in the register provided at the entrance of the Institute.
    10. The COVID 19 Safety focal officer of the Institute will brief regularly to the staff & trainees . 
    11. SOP copies should be displayed at the trainees notice board of the Institute including website. 

7. SOP for Entrance and Exit

8. SOP for Teaching Related Activities: (Instructors/Trainees)

1Trainees should follow the social distance norms while entering/leaving in the Classroom/Lab/Library. The same is applicable while appearing for the Examination. Form Queues before entering/leaving the lab/classroom.Safety Focal officer of the Institute
2The Instructors should avoid the group formation while attending the trainees doubts/ queries in the classIndividual Instructor handling the class
3Both the Instructors and trainees should sanitize their hands and the items (e.g. phone, books, duster, etc.) carried on regular basis.Individual Instructor and trainees
4The trainees should carry their own items (e.g. calculator, pen, books, etc.) while coming to attend the class. Similarly, the Instructors should also carry their own items (e.g. Duster, Presentation Pointer, Pen, etc.). Sharing of such items is fully discouraged.Individual Instructor and trainees
5Institute should ensure the sanitization of the classrooms/labs every day. Safety Focal Person of the Institute
6Hard copies of the assignments should be avoided as much as possible so as the handwritten or printed material.Individual Instructor
7Avoid hugging, shaking hands or any sort of physical contact while facing the crowdsStaff and trainees
8Practice good habit of sneezing or coughing into elbow or handerkerchief and washing hands regularly. If paper towels are used, immediately dispose in waste binStaff and Trainees
9Not spit and blow nose in open and public placesStaff and trainees
10Always use face mask at Institute, classrooms, large gathering and traveling. Staff and Trainees

H. SOP for Examination Related Activities:

1The Gap between two exams should be more than 2 hours and sitting arrangement should follow the social distancing norms.Examination committee 
2The trainees should submit their answer sheet in person and leave the hall. The faculty members should ensure appropriate gap among students while leaving the hall.Individual Instructor / Invigilators 
3Trainees should be permitted to enter/exit the Exam hall one by one in a queue ensuring the social distancing norms.Individual Instructor / Invigilators
4Answer sheet packets should be bundled a day before by the examination committee. It should be properly labelled, so that the individual assigned the duty can pick it without any bodies assistance after making the required entry in the register. Similar, process should be followed on the completion of the exam to avoid unnecessary contacts.Examination committee /Individual Instructor /Invigilators

I. SOP for Office, faculty room/ and Administrative Activities

1Employees shall work from their seats and avoid going to other's seats as far as possible. To the maximum possible extent, discussions / interaction can be held through mobile phones or WhatsApp’s tools. 2Hard copies of the files should be avoided wherever possible; soft copy correspondences / approvals are (to be increased by mails) encouraged. Approving officials can seek the required supporting documents in soft copy for study before approval.Safety focal person, Individuals Instructors and Office staff
3The staff/Instructors should regularly sanitize their desk and the items of frequent use. Avoid the sharing of items such as staplers, pens, etc.Safety focal person, Individuals Instructors and Office staff
4In physical meetings the strength should be as minimum as possible and social distancing norms should be strictly followed.Safety focal person, Individuals Instructors and Office staff
5The doors should be kept in open state during office hours to avoid the unnecessary contact.Safety focal person, Individuals Instructors and Office staff
6Staff/Instructors attending duty shall neither invite visitors nor visit any other common places in the Institute. There should be total ban of non-essential visitors in the InstituteSafety focal person, Individuals Instructors and Office staff
7The office premises including faculty room should be cleaned daily.Safety focal person, Individuals Instructors and Office staff
8Washroom, Toilet, Sink, water points, taps and fittings, wall / all other surfaces should be cleaned on regular basis.Institute cleaner.
  • J. Personal Care Guidelines
    1. Get lots of fresh air and sunlight
    2. Drink adequate water and eat healthy food/ Avoid Junk food 
    3. Wear clean and washed clothes only  
    4. Practice hand hygiene and social distancing at all places and at all times
    5. Use the cotton face mask as per the advisory issued. Wear it while you start from home. Don't touch your face, eyes or the face mask.
    6. It is advised to bring minimal things from home for work. May carry a ziplock cover with a spare face mask/ cotton handkerchief (may come handy if required and may also be used to keep the used face cover if it gets wet/ visibly dirty)
    7. Once you reach home, it is advised to keep the used things in a separate place and have a shower with soap and water (preferably warm water). The used clothes may be washed with soap detergent and water.
